Privacy policy
Herning City Hotel processes personal data about our guests and visitors. Our policy is to be open about this processing.
1. Data controller
Herning City Hotel ApS, CVR no. 21 42 77 80, Skolegade 1, 7400 Herning is the data controller for the collection and processing of personal data described in this policy.
2. Collection of personal data
We collect, store and process personal data about you in connection with your visit to the hotel and your use of herningcityhotel.dk. You will always be informed when we collect your data. This is typically your name, address, email, telephone number, date of birth and credit card details.
As a rule, the data is collected directly from you, but we may also receive it from other sources, including independent providers of booking services.
3. Processing of personal data
Hotel bookings: We process data about you in order to complete the booking and fulfil the agreement.
Stays: We process and store data in connection with your stay so that we can give you the best service, including on future stays. In certain cases we are obliged to ask for ID in the form of a passport or similar.
Customer satisfaction surveys: If you provided your email when booking, we may send you a link to a satisfaction survey after your stay. The responses are used to improve our services.
Marketing and newsletters: With your consent, we send emails and newsletters with current benefits and offers. You can unsubscribe by writing to info@herningcityhotel.dk.
Surveillance: We carry out video surveillance of common areas to prevent crime and for the safety of our guests. Signs are displayed in the monitored areas. Recordings are only reviewed in the event of suspected criminal activity, internal or external audits, or security-related incidents, and may be passed on to the police if required.
Customer service and communication: When you contact us, we process the information you provide in order to respond to your enquiry. Please do not send sensitive information unless strictly necessary, and then only in encrypted form by email.
Use of the website: We only have access to the information you enter yourself when making a booking or an enquiry.
Other purposes: We may process your data to comply with legal requirements or to establish, exercise or defend legal claims.
4. Sharing of personal data
Data may be disclosed to third parties with your consent, or if this is necessary to fulfil an agreement to which you are a party. In certain cases the law may require disclosure to public authorities or the police, for example in the event of suspected credit card fraud.
In certain cases we entrust data to suppliers who provide services on our behalf, for example sending newsletters and running our loyalty programme. They process the data in accordance with our instructions.
5. Withdrawal of consent
You can withdraw your consent at any time. We will then delete the data, unless we can continue the processing on another lawful basis. Withdrawal may mean that we can no longer offer you the same services.
6. Your rights
You have the right to access the data we process about you and to know why. You can object to the processing, including profiling, and request rectification, erasure, blocking or restriction. In certain cases you have the right to receive your data in a structured, machine-readable format (data portability).

7. Security
All personal data is treated confidentially and only by employees who have been instructed in how the data must be handled.
8. Retention
We make sure that the data is correct and up to date, and we delete it when it is no longer necessary for the purpose or as required by applicable law.
Video surveillance recordings are deleted or anonymised no later than 30 days after recording, unless they are needed in a specific case. Data may be kept for longer in anonymised form.
9. Links to other websites
Our website may contain links to other websites. We are not responsible for their content or their processing of personal data.
